We collect essential data to process your registration and participation in the Checkmate & Chaos Arena. This includes your Alias/Full Name, Contact Number (Phone), Digital Address (Email), and your selected Combat Division (Chess or UNO).

2. How We Use Your Data

• To secure your slot in the tournament and validate your eligibility as a BBA student.
• To communicate important matrix updates, schedules, and rule changes.
• To process tournament results and display your name/alias on the Live Leaderboard.
• To generate AI-powered participant statistics, matchmaking, and promotional event posters via the AI Photo Booth.

3. AI Data Processing

Your data (including submitted names, match results, and Chatbot queries) is processed by our secure AI backend logic (Google Gemini AI). The AI is utilized solely for validation, predictive tournament analytics, and interactive assistance. We do not use your personal information to train third-party public AI models.

4. Data Storage and Security

Your registration records are securely encrypted and stored within our integrated cloud database (AWS S3 & Google Cloud). Access to this data is strictly limited to the core Event Management Team and authorized System Administrators of the CBALC BBA department.

5. Data Retention

We retain your data only for the duration necessary to complete the 2026 Championship and associated post-event analytics. After the event concludes, personal contact information will be securely archived or deleted, while anonymized match statistics may be kept for historical records.
